2. Scope of this policy

This policy applies to visitors to Plymouth Plumbing Directory, people associated with businesses appearing in the directory, and people who submit a request to claim or correct a business listing.

3. Information contained in business listings

Listings may contain business information such as a business name, address, service area, telephone number, email address, website, services, description and images. Where business contact details identify an individual, those details may also constitute personal data.

Listing information may be supplied by the business, taken from public sources or publicly available business websites, imported by the directory operator, or provided by an authorised person who claims or updates a listing.

4. Information provided when claiming a listing

If you submit a claim request, the directory management system may collect your name, business email address, telephone number, role or connection to the business, verification information you choose to provide, the business being claimed, and information needed to administer the request.

5. Business-owner accounts and listing changes

When a listing claim is approved, the directory management system may create or link a WordPress user account using the approved claimant's email address. Account information, the business listings linked to that account, proposed listing changes, review decisions and related administrative notes may be stored so the authorised representative can manage the listing and the directory operator can maintain an audit trail.

Business-owner passwords are handled by WordPress authentication and are not stored by the directory plugin in readable form. Owners can use WordPress password-reset facilities if they forget their password.

6. Optional business-owner marketing

The listing claim form may include an optional, unticked marketing checkbox. If you actively select it, your name and email address may be sent to GetResponse and added to the marketing list selected by the directory operator so Local Business Directory can send free offers, listing enhancements and additional lead opportunities for business owners. This opt-in is not required to submit or approve a listing claim.

You can withdraw from these marketing messages at any time using the unsubscribe facility included in marketing emails or by contacting the directory operator. GetResponse acts as an external email-marketing service provider and processes the information needed to provide that service.

7. Technical information

The directory uses privacy-preserving first-party analytics to count directory page views, business profile views, featured-listing appearances, telephone clicks, website clicks, Google reviews/rating link clicks and promotion clicks. Analytics are stored in the central directory manager as daily aggregate counts; the analytics system does not store visitors' IP addresses, raw browsing histories or analytics cookies. Search terms are not included in these analytics, although a search submitted using the Search button may form part of the requested page URL and could therefore appear in ordinary web-server logs. The web server or hosting provider may also create standard technical logs, such as IP address, browser information, requested page and time of access, for security, reliability and operational purposes.

The separate claim form is hosted by the WordPress installation used to manage the directory and may use technical or security mechanisms required to process and protect form submissions.

8. Why information is used

Information may be used to operate and maintain the directory, publish and update business listings, respond to correction requests, review and administer listing claims, provide business-owner account access, review proposed listing changes, prevent misuse or fraud, protect the service, communicate about a submitted request, and comply with legal obligations.

9. Lawful basis

Where UK data-protection law applies, personal data will normally be processed where there is a legitimate interest in operating an accurate local business directory, administering voluntary claim requests, maintaining security and responding to enquiries. Other lawful bases may apply where processing is necessary to comply with a legal obligation or to take steps requested by an individual. Where you actively opt in to business-owner marketing, that marketing use is based on your consent.

10. Sharing information

Information may be processed by service providers needed to host, maintain or secure the directory and its management system. If you actively opt in to business-owner marketing, your name and email address may also be sent to GetResponse for email-marketing delivery. Information may also be disclosed where reasonably necessary to verify a listing claim, establish or defend legal rights, prevent misuse, or comply with a legal requirement. Personal data is not sold simply because it has been submitted through a listing claim.

11. How long information is kept

Business listing information may be retained while the business remains relevant to the directory. Claim, owner-account linkage and listing-change records may be retained for as long as reasonably necessary to administer the claim, maintain an evidence trail of listing control, deal with disputes or corrections, and meet applicable legal or operational requirements. Information that is no longer required should be deleted or anonymised where appropriate.

12. Your data-protection rights

Depending on the circumstances and the law that applies, you may have rights to ask for access to your personal data, correction of inaccurate information, deletion, restriction of processing, objection to processing, or transfer of certain information. Some rights are subject to exemptions and may not apply in every situation.

If you believe information about you is being used incorrectly, contact the directory operator using the contact method published for this directory and identify the relevant listing or request. In the UK, you also have the right to complain to the Information Commissioner's Office (ICO).

13. External websites

Business listings may link to third-party websites. Those websites have their own privacy practices and are not covered by this policy.

14. Changes to this policy

This privacy policy may be updated when the directory's operation or data-processing activities change. The current version will be published on this page.
